Administrative Assistant

Job Description:

This individual reports to the Executive Director and is responsible for providing administrative support to staff and assist as needed.

Educational Requirements/ Qualifications:

A minimum of High School Diploma or General Equivalency Diploma, an Associate degree or Vocational Diploma would be preferred. Minimum two years clerical or administrative experience. Excellent written and oral communication skills. Demonstrated ability to work independently and as a team member. Typing skills with at least 50 WPM. Familiarity with Microsoft Office software (Word, Access, Excel, PowerPoint) Knowledge of general office machines and telephone system. Sensitivity to the needs of persons with disabilities. Ability and willingness to work cooperatively with others. High degree of discretion dealing with confidential information. Ability and willingness to work some early mornings, evenings and weekend days. Ability to travel for short business trips. Fluent in Spanish preferred.

Duties:

These duties include but are not limited to:

  1. Assume receptionist duties, greet public and refer them to appropriate staff members,
  2. Answer incoming phone calls, route calls to the proper staff, and take messages if necessary.
  3. Assist staff with administrative duties as requested.
  4. Assist with completion of necessary reports as requested by the immediate supervisor or the Executive Director.
  5. Compile, copy or type information for Executive Director as requested.
  6. Distribute incoming mail and prepare outgoing mail including bulk mail.
  7. Maintain front desk area, keeping it clean and free from clutter.
  8. Type and word process documents as needed.
  9. Order office supplies and monitor inventory.
  10. Update and maintain mailing lists.
  11. Produce mailing labels and reports as requested.
  12. Maintain appropriate interpersonal relationships with employees, peers, and consumers.
  13. Facilitate special event registration and execution.
  14. Assist with various program operations as requested as responsibilities permit.
  15. Other duties as assigned by the Executive Director or Immediate Supervisor.

Terms of Employment:

  1. Regular Full Time or Per Diem, administrative assistant position; work hours flexible, depending on the needs of the agency.
  1. The Hispanic Coalition of Greater Waterbury, Inc., Personnel Policies and Procedures  (Employee Handbook) takes effect on 91st date of hire.
  1. Salary: dependent on experience and education.
  2. All Hispanic Coalition of Greater Waterbury, Inc., employees are employed on an “at will” basis. Employment at the Hispanic Coalition is for an indefinite period of time  and is terminable at any time, with or without cause being shown, by either the employee or the Hispanic Coalition of Greater Waterbury, Inc.
